Attendees and orders

Purpose

Look up who holds a ticket, what state it's in, and how the money behind it was paid.

Before you start

  • attendee.read for the Attendees screen; order.read for Orders. Every event-team role except SCANNER holds attendee.read.

Steps

  1. On Attendees (/attendees), search by ticket number or holder name to find one attendee. Press Open on a row to see their ticket number, holder name, tier, state and check-in time. Sotillion never shows an attendee's email or phone on this screen.
  2. To get the full door list, press Export CSV. It contains ticket number, holder, type, state and check-in time — no email or phone. Exports are logged and limited to 10 per person per event per hour; beyond that you'll be told to wait.
  3. On Orders (/orders), see every order for this event, newest first, with its state, and each order's tickets underneath it. Filter by order state (Created, Pending payment, Paid, Payment failed, Cancelled, Refunded, Partially refunded).
  4. Every ticket amount, fee and GST figure on this screen is exactly what the server recorded on the order — nothing here is recalculated from a price.
  5. To refund tickets from an order, select the issued ticket rows and see Refunds.
  6. Find a ticket at the bottom of Orders searches by ticket number or holder name across every order on the event — useful when you have the ticket but not the order it came from.

Escalate when

  • A buyer disputes a charge, or an order looks stuck in PENDING/FAILED for longer than expected — there is no in-app support case system for organizers yet (buyers have a Contact support page on the Sotillion web app, but it is not switched on either). Use the contact channel Sotillion gave you directly.

Record

  • Exporting the attendee CSV: audit label event.attendees.export, written by the server, rate-limited to 10 an hour per person per event.
  • Looking up an attendee or an order writes no audit row — reads aren't audited, only the export is.
  • Keep your own copy of any CSV export you rely on for the door; it isn't retained anywhere you can re-download it later.
