Run a hackathon
Purpose
Configure a hackathon on top of one of your events: tracks, judging criteria, judges, mentors, teams, and publishing results.
Before you start
- This is not available yet for every organizer — it switches on for your account only when Sotillion turns it on.
- Your event must be created in the "hackathon" category (see Create an event); the Hackathon destination only appears in the sidebar once that's true.
hackathon.manageto configure it (EVENT_OWNER, EVENT_ADMIN, EVENT_MANAGER). Judges and mentors are separate people, assigned per hackathon — they hold no organization role and see only Judging or Mentoring in their own sidebar.
Steps
- Open your hackathon event, then Hackathon (
/hackathon). The screen has five tabs: Settings, Teams, Judges & mentors, Announcements, Results. - On Settings, configure the hackathon itself, then add tracks (categories teams submit into) and judging criteria (what each submission is scored against).
- On Judges & mentors, add people by username as a judge or a mentor. A judge reads and scores submissions; a mentor reads submissions and posts in a team's thread — mentors never score, by design (a mentor holding
submission.scorewould be a product bug, not a feature). - Teams register and submit their work themselves; Teams is where you see the roster. Submissions are read on Judging (
/judging) by anyone holding a judge assignment. - On Announcements, post updates to ticket holders and/or the whole event — this is also the one place a regular (non-hackathon) event's announcements happen to live today, even though the feature works for any published or completed event.
- When judging is done, go to Results and publish. This is a one-way action — publishing makes the leaderboard and standings visible to participants.
Decision guide
| Situation | Do |
|---|---|
| Need someone to score submissions | Add them as a judge, not a mentor. |
| Need someone to help teams without scoring them | Add them as a mentor. |
| A person needs to both mentor and judge | Add them as both — mentoring and judging are independent grants, but a mentor never automatically becomes a judge. |
| Want to message all registered teams | Use Announcements on the hackathon's event. |
| Hackathon feature isn't visible in your sidebar at all | It isn't switched on for your account yet — see Escalate. |
Escalate when
- The Hackathon module isn't available for your organization and you need it — this is switched on by Sotillion, not something you can turn on yourself.
- You published results by mistake — there is no undo from this screen.
There is no in-app support case system for organizers yet; use the contact channel Sotillion gave you directly.
Record

hackathon.results.publish. - Posting an announcement is fanned out as a notification to the audience you chose; it is audited as
event.announcement.createand the audience itself is never shown back to readers.
